JOB TITLE: Human Resources Assistant
REPORTS TO: Director of Human Resources
EXEMPT/NON-EXEMPT: Non-Exempt
POSITION OVERVIEW: This position is responsible for providing a variety of Human Resources-related support to the Director of Human Resources and other staff within the Clinic.
ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:
- Assist the HR department with general clerical functions.
- Facilitate the new hire process.
- Plan and coordinate new hire orientation.
- Input new hire information into the Human Resource Information System (HRIS) insuring accuracy.
- Create, maintain and update employee personnel files ensuring legal compliance.
- Maintain clinical employee’s license database and coordinate recertification including clinical recertification and HCA to ensure legal compliance.
- Coordinate employee recognition and other events as assigned.
- Provide administrative support to Director of Human Resources.
- Maintain and update HR policies.
- Provide support with risk management, L&I and HIPPA as requested.
- Coordinate and maintain appointment schedule.
- Assist HR Generalist.
- Maintain the forms library.
- Prepare benefits packets.
- Assist with open enrollment and benefits meetings as requested.
- Assist Recruiting Specialist.
- Distribute job posting and maintain the Job Line.
- Receive resumes and send responses to applicants.
- Assist with the recruiting process as requested.
- Provide coverage to Executive Assistant as needed.
- Perform other duties as assigned.
QUALIFICATIONS:
Education: A.A. degree in Business or related field preferred.
Certification/Licensure: Not required.
Experience: Minimum of 3 years administrative assistant/organizational support experience.
Skills:
- Ability to maintain confidentiality of sensitive information.
- Knowledgeable in Washington State and federal employment laws applicable to responsibilities.
- Excellent interpersonal skills including professional representation of the Clinic, ability to resolve issues, and interact with a variety of personalities.
- Excellent communication skills including the ability to write clearly to communicate ideas and information, present data orally and make presentations as required.
- Ability to operate computer equipment including PC-based programs such as MS Excel and MS Word. Prefer experience in using a Human Resource Information System.
- Possess excellent general clerical and organizational skills.

Physical Requirements:
Hearing: Adequate to perform job duties in person and over the telephone.
Speaking: Must be able to communicate clearly in person and over the telephone.
Vision: Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens for long periods of time without eye strain or stress.
Other: Requires sitting for extended periods of time. Requires manual dexterity to operate office equipment. Requires frequent bending, reaching, repetitive hand movements, standing, walking and squatting, with some lifting, pushing and pulling exerted regularly throughout a regular work shift.
