JOB TITLE:          Materials Coordinator (Surgery Center)                                   

REPORTS TO:      Surgery Center Manager / Materials Manager                                     

FLSA STATUS:      Non-exempt

JOB OVERVIEW:  Responsible for timely ordering, acquisition and distribution of supplies and products, for the surgery center, including non-capital and capital inventory.  Provides centralized distribution and control of supplies.   

 

ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:

  • Knowledge of and the ability to use a computerized inventory system
  • Knowledge of, and the ability to maintain a computerized perpetual inventory system
  • Knowledge of inventory/stock policies and procedures
  • Excellent organizational skills and attention to detail, prioritizes work to meet the changing needs of the department.
  • Ability to work with minimal supervision
  • Ability to work within a team environment

 

 ADDITIONAL RESPONSIBILITIES:

  1. Maintains appropriate level of inventory throughout the surgery center.
  2. Assures supplies and equipment are ordered expeditiously.
  3. Responsible for the annual inventory count of the surgery center.
  4. Ensures timely purchase order and processing for, and acquisition of, all approved supplies and equipment, including non-capital and capital inventory items.
  5. Responsible for the timely receiving and distribution of all supplies and products for the surgery center.
  6. Works with management to obtain product pricing information from vendors.
  7. Monitors vendor performance and compliance with surgery center standards on an ongoing basis.  Notifies Surgery Center Management when problems arise and seeks solutions as needed. 
  8. Ensures proper utilization of center’s total purchasing budget utilizing related monthly inventory cost reports and justifies variances to center management.
  9. Notifies appropriate personnel of back orders and shipping dates and seeks alternative products as appropriate.
  10. Maintains accurate inventory PAR levels.
  11. Records price changes in system and notifies appropriate individuals as necessary.
  12. Ensures all equipment, center owned or rented, is checked by BioMed prior to issuing.
  13. Rotates, monitors and tracks supplies to ensure no outdated supply is left on the shelf.
  14. Creates and updates surgeon preference cards as needed.
  15. Demonstrates complete understanding of established emergency procedures for center.
  16. Assists in OR as directed. 
  17. Performs special projects, cost comparisons, research, etc. as needed.
  18. Other duties as assigned.

 

QUALIFICATIONS:

Education:        

                            1. Graduate of an accredited school of nursing or accredited

                               surgical technologist training program. 

Certification/Licensure: 

                            2.   Maintains current State of Washington RN licensure or

                                  Surgical Technologist Certification.    

                            3.   Maintains CPR certification

Experience: 

                            1. 1-2 years related materials management or purchasing

                                experience, preferably in

                           2.  Two years Operating Room experience, preferably in an

                                 ambulatory surgery center setting.

Skills:

                           1.   Strong organizational and interpersonal skills.

                           2.   Familiarity with computers and other office equipment.

                           3.  Ability to meet deadlines and be punctual in keeping

                                schedules.

 

Other Requirements:

                           1  .Ability to multi-task efficiently and effectively.

                           2.  Ability to communicate effectively in the English language in

                                person, by phone and in writing.

                           3.  Adherence to all TDC policies and procedures, including but

                                not limited to standards for confidentiality, infection control,

                                safety (OSHA), attendance, punctuality and personal

                                appearance.

                          4.   Must be able to establish and maintain effective working

                                relationships with managers, physicians and staff

 Physical Requirements:

Hearing:  Adequate to perform job duties in person and over the telephone.

Speaking:  Must be able to communicate clearly in person and over the telephone.

Vision:  Correctable to 20/20, full range of vision and absence of medical or legal restrictions or impairments prohibiting the holding of a valid driver’s license.  Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.                       

Other:  Requires long periods of sitting while driving.  Frequent lifting and carrying items weighing up to 75 pounds unassisted required.  Ability to move large quantities of supplies with hand trucks required.  Frequent bending, reaching, repetitive hand movements, standing, walking, squatting, pushing and pulling exerted regularly throughout a regular work shift required.
