| JOB OVERVIEW: |
Operates clinic switchboard, provides routine information, and directs calls to appropriate area. |
ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:
1. Channel incoming calls and routes calls to appropriate departments.
2. Respond to emergency calls according to established procedures.
2. Communicate general clinic information.
3. Train other personnel on East Bremerton switchboard.
ADDITIONAL RESPONSIBILITIES:
1. Communicate with Answering Service for on-call schedule information.
2. Coordinate beepers including beeper assignment and sending in for repairs.
3. Perform miscellaneous clerical tasks in support of other departments.
4. Maintain the Job Posting binder and assists applicants in completing applications.
5. Maintain confidentiality of sensitive information.
6. Work as a team member within the patient services/medical records departments and all other departments.
7. Document work processes as required.
8. Perform other duties as assigned.
QUALIFICATIONS:
Education: High school diploma or equivalent.
Certification/Licensure: Not required.
Experience: Six months of switchboard experience, preferably in a clinic setting.
Skills:
1. Skill in operating a multi-line switchboard and knowledge of communication procedures.
2. General clerical skills including typing, filing, etc.
3. Strong organizational and interpersonal skills, including the ability to manage interactions with difficult people.
4. Ability to speak clearly and concisely with a pleasant telephone voice.
5. Ability to read, understand and follow oral and written instruction.
Other Requirements:
1. Ability to prioritize responsibilities.
2. Ability to multi-task efficiently and effectively.
3. Must be able to act calmly and effectively in a busy or stressful situation.
4. Knowledge of medical terminology preferred.
5. Requires adherence to all policies and procedures, including standards for safety, attendance, punctuality and personal appearance.
6. Must be able to establish and maintain effective working relationships with managers and peers.
Physical Requirements:
Hearing: Requires ability to hear within normal range.
Speaking: Must be able to communicate clearly to patients in person and over the telephone.
Vision: Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.
Other: Requires physical hand dexterity and full range of motion for operation of switchboard. Requires sitting for long periods of time. Requires ability to work under stressful or emergency situations with high concentration and energy level.
